ECMS - Getting authorized for the Imaging System

The Imaging System houses documents for a variety of divisions, departments and groups across campus. This document details the process for requesting access to the Imaging System based on the documents needed.

How do I get access to the Imaging System?

You need to alert your "approver".  Groups of documents in the Imaging System have data approvers. A data approver for a given set of documents submits requests to DoIT Security to grant users access to the Imaging System. For more on how to request access to the Imaging system, please see:

ECMS - I need access to documents stored in the Imaging System

Who is my data approver?

Your data approver depends on the documents you need to access. The list of data approvers can be found in the following Excel workbook:

ECMS/Imaging Functional Offices And Developers.xlsx
(Please note that this document requires NetID login)

In many cases, the data approver will be someone in your department. However, there are some sets of documents in the Imaging System that may be accessed by a variety of departments across campus. If it's not clear who your data approver is, please contact the DoIT Help Desk for further assistance.

How long does it take to get access to the Imaging System?

Once a request has been submitted to DoIT Security by a data approver, it will typically be processed within 3 business days.

The ECM/Imaging Service recommends that each implementation in the Imaging system have at least two data approvers at all times.  Delays associated with unavailability of an approver are the responsibility of each group or department.
